Privacy Policy

Account information. When you sign in with Google, we receive your name, email address, profile picture, and Google account ID from Google, so we can create and secure your TevScribe account.

Calendar information. If you connect Google Calendar or enable auto-join, we access your calendar on a read-only basis to detect upcoming meetings — including event titles, start/end times, meeting links, and participant email addresses — so TevScribe can automatically send a bot to meetings you choose to have it join. We do not modify or delete anything in your calendar.

Meeting content. When you invite a TevScribe bot into a meeting, we capture the meeting audio and live captions to generate a transcript, speaker attribution, and an AI-generated summary (overview, key points, decisions, and action items).

Usage and billing data. We record meeting duration, timestamps, and usage totals to operate billing and account limits.

Communications you request. If you enable attendee emails or a Slack export, we send the meeting summary to the attendee addresses on the calendar invite or to the Slack channel you configure.

Technical data. We collect standard server logs, IP address, and diagnostic/error data (via our error-monitoring provider) to keep the Service secure and reliable.

We use the information above to: operate and provide the Service (joining meetings, transcribing audio, generating summaries); schedule automatic bot join based on your calendar; deliver summaries by email or Slack when you enable those features; calculate usage and billing; secure accounts and prevent abuse; and comply with legal obligations. We do not use your Google Calendar or Google profile data to serve advertising, and we do not sell personal data to third parties.

Meeting audio and transcript text are processed by Google’s Gemini API to produce transcripts and summaries. We use the following sub-processors to operate TevScribe:

These providers may only use the data we share with them to provide the specific service to us, under contractual confidentiality and data-protection obligations.

TevScribe includes an automatic masking feature that can detect and redact email addresses, phone numbers, and card-like numbers from transcript text before it is summarized. This can be enabled or disabled for your workspace.

Meeting audio recordings are retained for 7 days after the meeting and then permanently deleted. Transcripts, summaries, and action items are retained until you delete the meeting or your account. Calendar data is used to detect upcoming meetings and is not stored beyond what is needed for that purpose. Google account and calendar access tokens are retained until you disconnect Google or delete your account.

TevScribe’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We request only the Google Calendar read-only scope needed to detect meetings for auto-join, plus your basic profile (name, email, photo) to sign you in. We do not use Google user data for advertising or serve ads based on it, and we do not allow humans to read this data except: with your explicit consent, for security purposes (e.g. investigating abuse), to comply with applicable law, or in aggregated/anonymized form for internal operations.

We do not sell your personal data. We share information only: with the sub-processors listed above to operate the Service; with meeting attendees when you or your calendar invite triggers a summary email; with your team’s Slack workspace when you configure that integration; or when required to comply with a legal obligation, court order, or to protect the rights, property, or safety of TevScribe, our users, or the public.

• Revoke TevScribe’s access to your Google account at any time from your Google Account permissions page.
• Disconnect Google Calendar or turn off auto-join from TevScribe Settings.
• Delete individual meetings, transcripts, and recordings from your dashboard.
• Request deletion of your entire account and all associated data by contacting us below.
• Request a copy of the personal data we hold about you.

If you are located in the European Economic Area, the UK, or another jurisdiction with data protection laws, you may also have rights to rectification, restriction of processing, data portability, and to object to certain processing. We process your data on the basis of your consent (Google sign-in and calendar access) and our contract with you (providing the Service).

We use encryption in transit (TLS) for data sent to and from the Service, restrict access to production systems and stored recordings to authorized personnel, and store credentials and API keys using secrets management rather than in source code.

TevScribe is not directed to, and we do not knowingly collect personal data from, children under the age of 16.

Depending on your workspace configuration, meeting audio and derived data may be processed and stored in the European Union or the United States by us or our sub-processors listed above.

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, for material changes, notify you by email or an in-app notice.
